Keeping Cards & Important Dates Organized


If you have ever struggled with the dilemma of where to store and organize those extra greeting and note cards, you have probably tried everything from using a shoebox to odd-shaped picture boxes.  I have used a picture box for years, which I thought was pretty handy until I found this.

I just had to share with you, something I love from the website Organize.com . With this Greeting Card Organizing Book by Knock Knock (love the name too!), there's no excuse not to have a card ready for the perfect occasion. This binder allows you to collect and store up to 240 cards. There's even a birthday tracker, holiday address book, and helpful tips, phrases, and quotations.




For a cheaper option, this Planner/Organizer by Neatnix is made of clear plastic and keeps occasions and holidays separated by colorful dividers.

I really love using these kinds of tools to remember my family and friends on time, because there is nothing like scrambling for a blank card at the last minute for a forgotten birthday or running to the store when you just don't have time.

You don't have to go out and pre-purchase a year's worth of cards at the beginning of the year to be prepared.  Feel free to Print out this handy schedule I've created for you, and fill it in with the important monthly events in your life.  A nice little online reference that I have found is called Info Please & displays the official US Holidays through 2010.
Go through your list of contacts and write down birthdays, anniversaries, local events, special dates to remember, holidays and vacations.  Then at the beginning of each month, look at the next month's events and purchase accordingly.  I know for my family, May is a BIG month so I stock up on most of my cards at that time of the year. 

Keep blank note cards in your stock as well for off-guard thank-you's or those "just thinking of you" moments you should be sending to your parents.  Blank cards are also great for upcoming events in your life...  When you plan on taking a vacation, keep a card dedicated to send to a close family member with your itinerary information or pet-sitting instructions.  For months when a big event might be coming to town, keep an invitation to send to your friends.

Using a month-to-month accordion file works for this purpose as well, as long as you look in the file a month or two ahead of time.  You can use this as a handy tool for your ongoing life information;  Toss in your yearly reminders like car maintenance, spring cleaning & your yearly health check up.

With a simple "tickler" system like this, you will never have to stress over these details again.

Ask the Organizer Events and Rolling out the Red Carpet!

My new business as a Professional Organizer is officially launched, and I have been working diligently to get everything prepared for its grand opening in April.  I pondered for an eternity on the name and even though the whole ReneW was so perfect incorporating me, it just didn't tell the whole story.  So without further ado, the new name is...  Drum Roll Please...  Renew Your Space.  My website is finally up and running!

I have recently received a few organizing questions, so I thought this would be a good time for a Q&A post with others that I thought you would find helpful.  I will occasionally make myself available for any questions and then eventually answer them on my YouTube channel, but for now I will post "Ask the Organizer" blogs now and then to archive them.  You can post your questions on my Facebook Group page - HERE.  So here are the answers to some of your questions, and a few awards to give out at the bottom of this post!  Enjoy :)


Q - I have so much stuff for school and all my other things how can I keep it all neat & organized?
A - Your book bag may be the most important item to keep you organized. Try to find one that can keep all of your tools nicely stowed away yet accessable. If you can identify a place for everything, you will always know where to go when you need something.  Keep a slick binder with tabbed inserts for each subject. Label one tab "Notes" for anything you need to jot down. Try not to load up on bulky supplies.   Also check out what your friends do to stay organized - you may find a habit or technique that you can easily adapt to your routine.

Q - What do I do with those ugly wires in the back of my desk?
A - You can easily clean up the wires around your desk & computer by using a few zip ties.  If you have a lot of wires, first unplug them & straighten them out.  Use two or three zip ties to keep them together and if you're handy, secure them with a strap & screw to the bottom of your desk.  If you only have one or two wires that are bugging you, THIS is an awesome tool to keep them up & out of the way. Use labels to wrap around the plug of each cord and write where it goes to if you ever neen to unplug or move them.

Q - What is life balance?
A - Balancing life can be a combination of scheduling around your career, recreation, relationships, hobbies, community involvement, etc. Life can be looked at as a wheel, and when one of these "spokes" become unused or ignored the wheel becomes unbalanced.  It is hard to be truly happy when you just focus on career, so it is important to think about all aspects in your life...

Q - Do you have any ideas on how to manage all those electronic gadgets, ie: cell phones, mp3 players, cameras, and all the cords and accessories that go with them?
A - I just love those charging stations that you can dock your electronics in like This One  or This One that just hangs on the outlet.  For cord storage, I suggest using a desk drawer or basket to keep them all & you can easily find them when you need them.

Q - Teen Room:  How do I organize bedroom space if I'm living in it more like a dorm room than my house? I don't have anywhere else to put my stuff, so it's hard for me to keep organized since I do everything in there.
A - Think of all the functions you need your room to be:  (i.e. - Sleep, Homework/work space, Makeup, Projects...)  Create small areas that seperate themselves - place your desk in one corner, divided with a curtain. Find a dresser that can be used to house your clothes and your supplies - identify seperate drawers for different functions, (i.e - makeup, files, hobbies...) You can create a vanity that can be doubled as a desk or table. Also, utilize the space under your bed to store shallow bins full of seasonal items.  You can keep small things organized with rolling plastic bins and lots of drawers. Check out container stores for various sized baskets or drawer dividers. Install hooks inside closets to organize your accessories & keep your eye out for everyday items you may already have that can be used for storage.

Turn Your Fitness Resolutions Into Real Goals


Now that 2010 has kicked into high gear, I wonder who is still hitting the gym like they vowed in their resolutions. I know I have been slacking. I mean, a new business start-up has no time to allow for a work out – right? I know… I have no excuse because I understand that fitting exercise into my weekly routine maintains that balance that I desperately need. I don’t know how I fit everything into my day, but I wouldn’t be anywhere without a daily plan. That nagging “To Do List” that guides me through life. And somehow, it all seems to get done even with the hour gym appointment.

If you’ve been reading my blogs, by now you know what an advocate I am for listing goals. They are the bane of my existence, but without them I never would have made it to where I am today. If you were to tell me five years ago that I would be living on the ocean in Southern California, helping people get organized, I don’t think I would have believed you. At that time, I was working with cancer patients, assisting with fundraising deadlines, and dreaming of something more (of what – I had no real idea).

I had abandoned the notion of making New Year’s resolutions behind years ago when I decided they weren’t really working for me. You know – the whole “The Birthday Ritual” idea came to mind, and the goal-setting had begun. That initial dream list had set into motion a whole life-changing experience.

Sticking to my workout routines were always at the top of my list, so in order to make it something that I would be disciplined at, I committed to a workout that I loved to do. You’ve probably heard of Turbo Jam – it’s one of those late-night infomercial systems. Most of my friends bought theirs the same way. I was immediately drawn to this & five years later I am still doing the same routines, only now they teach them in the local 24hr Fitness (Turbo Kick classes) Hallelujah!! Enter Chalene Johnson – the star of the Turbo series. She is my mentor!! I can’t say enough great things about this lady and the awesome pay-it-forward advice she has given me over the years. If you need some good motivation on setting your fitness goals, check out her Blog – she is truly one of a kind.

Believe me, I don’t commit to something unless there is some kind of payoff right from the start, so this one just really does it for me. It combines the cardio of kickboxing with the fun choreography of dance. I know isn’t for everybody but I have pretty much convinced everyone I know to try it and they have all become committed to it as well. I am getting my weekly gym goals established once again and pulling out my handy schedules, which I am to happy to share with you:




These are just basic guides to get me through the week & provide a little accountability. If I make a conscious effort to schedule in my workouts ahead of time, I have no excuses. Feel free to design your own guides with your specific routines off of this format & see where it takes you.

There is one thing that has always helped me to turn the resolutions I just couldn’t hold onto into real goals that worked, and that was my journal. It doesn’t have to be an expensive journal – just a basic notepad even does the trick. It is always good to stop every few weeks and re-evaluate. Ask yourself; What progress did I make? How do I feel? What can I improve & What is my reward for getting there? If you have weight to lose, these are some excellent questions that will help you plan where you want to be.

Exciting News!

What an amazing week this has been. As many of you know, I am embarking on a new career as a Professional Organizer and ironing out the details before I launch into my own here in Ventura and Santa Barbara. My Blog is finally getting off the ground, and as I put all the pieces together, I have stumbled upon some amazing women, networks and inspiration that seem to fall right into the purpose of my work.


There are many exciting features that will be coming to my blog. I will soon be launching a website for my Professional Organizing business which will offer virtual consultations, workshops and opportunities to attend future speaking engagements. In addition, I’ve created a “File Cabinet” full of creative worksheets and informational downloads which may be helpful in your pursuit of organization. And... VERY excited to announce my book on Life Balance to come out this Spring.

I’ve also been given the opportunity to become a contributing writer with The Lady Bloggers Society, a newly-launched blog networking group “which was formed to give women bloggers a place to connect, learn, share, and advance as bloggers and dealing with everything feminine in this growing digital age.”  Check out their blog for some great tips on writing & blogging, women empowerment, and how to become stronger, calmer and more organized in your life.

They believe in empowering, and supporting each other through blog networking. I am so happy to see more of this coming to us in a time where women are rising to the occasion with innovative ways to earn a living while being a stay at home mom, or by promoting their entrepreneurship through written expression.

Information Overload

I have a question for you - How is your computer filing system working for you? Do you have it streamlined into easily identifiable folders, or is it a chaotic jumble? Well, today is none other than National Clean out your Computer Day.  Now is a great time to be thinking about a way to pinpoint the most important documents that you frequently access, and easily tuck the rest away for when you need them in the future. It doesn’t take long – try these easy steps:

Take a look at your main document folder and decide on a few key files can easily be narrowed down. It shouldn’t be more than a handful. You will be able to keep everything you need in sub-folders within the files. For example:

Household >  Expenses> Personal Monthly Bills>
                               Budget Spreadsheet>
                               Meal Planning> Weekly Menus>
                                                                    Grocery List>

Correspondence>  Birthday Calendar>
                                        Health Insurance Records>
                                        Timeshare Contracts>


Vacation Plan> Maui Itinerary> Reservations & Car Rental Info.>

Renee’s Personal Folder> Manuscript> Chapters>
                                                       Ideas>
                                                      References>


Of course, yours will be very different than mine and will probably need to go into further detail, but you get the picture...  I keep 10 in my queue that are clearly defined and which contain everything pertaining to that subject behind its “door”.

If you can keep the main categories simple, you will find no problem identifying where the next document you create will go, and in turn will be able to retrieve what you are looking for with ease. You don’t need to spend a lot of time working at this – it actually comes fairly easy after you get the basic outline in mind. When in doubt, I recommend keeping things as they are until you have the time to follow a plan instead of moving them to a file you may not remember in the future.

Sometimes jotting the outline down on scratch paper will help guide you towards a simpler system. With just a little forethought, you will probably find that many files can be eliminated because of duplicates or old information & you will save time the next time you are scrambling for that most updated resume you need to fax ASAP.

If you are concerned with the safety of your files, it is always a good idea to invest in a memory stick or even an additional hard drive. There are now data companies that allow you to back up online for a yearly fee which is an excellent way to keep it all safe.  Speaking of safety - my security software recently expired & I admit to letting it lapse, simply because I wasn't ready to fork over the money to have it renewed.  But let me tell you - when a weird spyware started slowing me down, I started looking to update it real quick!  I actually found a free subscription (for 6 months) contract with McAfee if you become their fan on Facebook.  Yes, you have to give them your credit card information, but at the end of 6 months, they give you the option to renew it for a fee or to cancel.  Pretty cool in my book!

Since there is a whole day dedicated to cleaning out your computer, why not take a little extra time to back it up & run that annoying defragmentor. If you get your computer up to date, it goes much more quickly on your next scheduled update & you will find that it will run much more efficiently in the long run.

Sunshine Bliss


What a beautiful day this morning has presented to me - the sun is peeking through the curtains and the rains have promised to stay away for a few hours.  Coming from a part of the world where blue skies are a rare treat, I am blessed beyond words to have the Southern California sun kissing my cheeks once again.

So all of this vitamin D has gotten me all giddy and thinking about new, fun ideas to pass along in my writing.  As any new blogger, I have been trying to get a routine down for my posting and develop a good time to visit other blogs that I have enjoyed these past few weeks.  It is a lot to learn, but a fun process to jump thorugh the hoops.  Being a member of SITS, I have enjoyed meeting other women from across the globe with amazing insights, humor, crafts and tips to share and discuss.

One of whom, I think is a fantastic mommy blogger sharing tips on Housewife Bliss presented me with the Sunshine Award  today!  :)  I am so honored!  Go check out her "It's All About..." series - her tips are devine.  Thank you Coryanne!



This little bit of virtual sunshine has really brightened my day, and made me think about where I want to go with this blog.  I am devising a plan to put out posts each Tuesday & Thursday with tips requested from my clients & readers.  As I move forward, I promise to put more personality and spin on my writing;  I don't like being too rigid with my posts when blogging about housework & chores, but sometimes it's inevitable.  As my blog grows over time, I hope to evolve into a fun, unique place to chat & share my passions and expertise with you.  In addition to providing weekly tips, I am going to be incorporating future contests, give-aways and free coaching, so stay tuned!

6 Reasons to Archive Your Files

February is National Archive your Files Month - Did you know there was such a thing? Well, with January being National Get Organized Month, why not right? The more awareness there is, the more likely we will actually get to the daunting task of that ___________  (you fill it in) we’ve been putting off for way too long.

It is like putting fires out all over the place, isn’t it? The in-box gets over-run with things that can wait until tomorrow.  The newspapers stack up, the eMails flow into 8 or 9 pages long and just when you may begin tackling your long list of “Do Tomorrow’s”, the unthinkable might happen… the computer crashes & all of those photos you meant to back up are lost forever…

Wait - Don’t let that happen! Let’s stop running from one fire to the other, and reach a more serene approach to managing all of this information.

Shoot for one burning issue a week and turn it into a goal. Is it your over-filled file cabinets? How about the documents you create and save in happenstance areas of your computer? Could it be the 250 eMails you’ve been holding onto just in case? Do you really need to save ALL of those e-zines, newsletters or “classy trash” meant for shredding? (This is one thing I noticed my employee was doing in my boutique –she kept a file with this title that just kept getting bigger and bigger. Pretty soon, I was forced to spend an entire afternoon on her “classy” procrastination - Ahem...). Whatever the case may be, list your goal in your calendar next week and think of a few small things you can do every day to get it done.


If you need a few ideas to get you started, here are some that are on my list:

PAPER
1. If you have a file cabinet or filing system, reach in and grab a handful of at a time.  Skim through to identify anything that can be purged, shredded or passed on. You may want to check with your CPA for advice on retaining your financial records. I have found THIS link helpful with important information on legal documents. 

Decide what can be archived for possible future needs or audits. These files can be slipped into a cardboard box or a nice file-box and tucked away to make room for the more important items you need to keep at your fingertips. Label the box with its contents and write a date that they can be legally purged. If you want to be reminded of this later, schedule it into your phone calendar or use an electronic reminder service – this is a great way to get it out of sight, out of mind, but not completely when it's a few years out.

With the changing times, it is easier than ever to let go of certain paperwork because of electronic files and paperless billing... (This proposes situation #3, below).


2. The In-Box is yet another issue for me which tends to grow before my eyes if I don’t stick to a plan. I try to keep my paperwork manageable by identifying it in three categories:

Bills / Correspondence – If it’s a bill or pertaining to money, it goes right into my vertical letter box. Mine has two slots, which I use for IN & OUT. I know if there is anything in the IN it needs to be paid, or may be a card that needs to be filled out.  If there’s anything in the OUT it needs to be mailed or deposited.

- Requires Action – These are my “To-Do’s”. Anything that needs me to pick up the phone, fill out or schedule into my day timer.

- Informational – Personal letters, Newsletters, Coupon books, Fliers, Invitations...  Again - anything that can be absorbed, transferred into the day timer and then tossed.

I have given up on the old, flat in/out box system. It just doesn’t work for me. I am visual, and to me the beautiful wicker tray sitting atop my desk just looks like a pile of paper to me so that obviously doesn’t work. What does work is using colorful folders that I keep in a desk drawer – one for the Action, and one for the Information. I look in these two folders every day to make sure I am not overlooking anything, and I try as hard as possible to get all paperwork down to a minimum & transferred into my calendar.


COMPUTER

3. Open up your eMail and click on the pull-down titled “Sort by” at the top. Then choose “From”. This is such a great way to filter out what you really do not need.  Information tends to get lost as the days go by as they slip farther down on the list. This way you can identify certain groupings that you may not realize that you’re holding onto. This happens to me frequently because I have such great information that is sent out to me on a daily basis.  I tend to hold onto them, with good intentions of going back to read but I know if I haven’t read them by the next day I need to consider it old news. I will go on living another day without having every bit of information out there.

The same goes for notifications that you are subscribed to. Take Facebook for an example. There was a time when I was getting over 50 eMails a day from responses and messages from my friends. Now don’t get me wrong – as a complete FB addict, I enjoy knowing when I am being responded to, and reminded that a conversation is in progress.  But I have come to realize that life doesn't stop if I don’t know my friend Brooke has LOL-ed my latest brilliant update. If I happen to see it, I will enthusiastically chime in but it is now time for me to let go of the reigns.

If you find that you are getting way too much informational eMail, don’t feel bad for Unsubscribing. I recently unsubscribed to several newsletters I had been getting for my Boutique, which were valuable to me in the past. Now that I have gone completely online, I no longer need some of this information so I was happy to click on that little link at the bottom and it was one less thing I had to decide whether to keep or not.

4. Computer Documents are another form of filing that tends to get out of hand. What kind of system are you using to keep your documents? Is there a method to the madness? I like to keep my document list as simple as possible, so I identified those necessary evils as I call them – you know the ones that need to be left alone… (Data Sources, Scanned Documents, etc.) and the most useful folders I numbered 1 – 10 with the title behind them.

Because I own two businesses, I keep a Main file for each, then I have a main file for myself & my husband.  One for household information, one for traveling, a file for our sailing information, and then a few other important categories. I look at it as if my computer were a giant binder & within it are the smaller file-folders to hold information.  For an example, under my personal file, I create sub-folders for specific interests (i.e. Writing Projects, Photography...)

You will probably find that once you actually get a system down, you will feel compelled to file the next document where it will easily be found when you need it.

5. Physical photo albums for most are a thing of the past. Digital Photos are taking over our computer memory & filling up way too much space. Since one of my hobbies happens to be photography, I can sometimes upload hundreds of photos a day. I have come to realize how important a catalogue system really is when you have so many memories riding on your computer’s shaky existence. One day they are safely tucked away in your Photos file and the next they may have slipped into a cyber graveyard.

One thing I have found helpful is to join Flickr. Not only can I store my digital copies privately, but I can share certain albums with my friends and family. There are many web based photo storage companies, and many offer free membership with a limited amount of uploads. It may also be helpful to purchase an online back-up plan. This is a necessity for me.

6. Back-up. Enough said! There is no sense in revisiting and re-saving all of these files if you are willing to risk losing it all to a crash. I have learned my lesson – the above story about losing all those digital photos was my bad luck. *Sniff!*

Whatever system you come up with, embrace it for a while and see if it is working for you. If it’s not, get out the fire extinguisher and try something else until you can begin seeing through all of that smoke.
